WPM is now the official technical partner of HK Olimpija Ljubljana. The partnership grew out of a project we’re especially proud of: a complete communication platform we developed for the club’s Business Club. It lets HK Olimpija design, send and track invitations for its business guests and partners, and see exactly who is coming to each home match at Tivoli Hall.

HK Olimpija is the reigning Slovenian champion, competes in the ICE Hockey League and plays in front of a loyal home crowd. Being part of the team behind the team, even on the digital side, means a lot to us.

The Challenge: A Business Club With a Lot of Moving Parts

The HK Olimpija Business Club is an exclusive space at Tivoli Hall that brings together top-level hockey, fine dining and networking with the business community. It’s where entrepreneurs, sponsors and club partners meet, and where some of the club’s most important relationships are built.

Every home match brings business partners and invited guests into the club, and each of them expects a personal, well organised experience. Until now, much of that communication ran through regular emails, phone calls and spreadsheets.

That works, until it doesn’t. When you don’t know exactly who is coming, planning catering, seating and entry becomes guesswork. The people handling it end up chasing confirmations instead of looking after guests.

What We Built

Instead of connecting the club to a generic newsletter tool, we built a full email platform designed around how the Business Club communicates with its guests. Every campaign is tied to a specific match, so the invitation, the replies and the final report all live in one place.

Creating a campaign follows six clear steps: choose the match and channel, pick the audience, write the content, design the pages behind the buttons, schedule the send and run the final checks.

Design Everything, Not Just the Email

The heart of the platform is a drag and drop builder, developed in-house by our development team. The club’s team can put together a branded invitation from ready-made blocks, including dedicated blocks for RSVP buttons, match cards and tickets, and preview it on desktop and mobile before anything goes out.

What makes it different is that the builder doesn’t stop at the inbox. Every button in the email leads to its own page, and each of those pages is designed with the same builder and the same look:

  • Attending: a personal thank you with the match details and the number of seats reserved in the Business Club
  • Not attending: a polite confirmation, so the seat can be offered to another guest
  • Plus one: an updated confirmation when a guest brings company
  • Repeat click: a clear response when someone clicks again

The same goes for headers, footers, email templates and web pages. Each is saved as a reusable template, so a new match invitation takes minutes, while the club’s visual identity stays consistent across everything a guest sees.

Personalisation tokens fill in the guest’s name, the opponent, the date, time and venue automatically, with fallbacks when a detail is missing. Built-in checks flag the things that usually go wrong, from a missing call to action to a subject line that’s too long.

The Right Invitation for the Right Guests

Not every guest should get every invitation. With audience segmentation, the club can target sponsors, business partners, season ticket holders from companies or specific guest groups separately, and anyone who belongs to more than one segment still gets just one message.

The platform also handles the details that keep communication clean and professional:

  • Hold back segments, so guests already invited to the same match another way aren’t contacted twice
  • Smart sending, which skips anyone who received a message in the last 16 hours, unless the send is time critical
  • Service messages about entry, parking or a changed face-off time can reach every guest, while invitations only go to those who subscribed
  • Bounced and spam-reported addresses are always left out automatically

From Invitation to Attendance Report

Guests confirm with a single click directly in the email, choosing whether they’re coming, coming with a plus one, or can’t make it. The club knows who is coming to the Business Club before the doors open.

After each send, a report shows delivery, opens and clicks, along with the actual RSVP outcome and attendance for that match. Over a season, this becomes one of the most valuable things a club can have: a clear picture of which partners attend, how often, and how they respond.

Why It Matters for the Club

Sponsors and business partners are a key part of any professional club, and the Business Club is where the club looks after them. Knowing how they engage gives the club a much clearer picture than a list of names ever could, and makes every partner conversation better informed.

For guests, the experience is smoother too. A personal invitation that looks and feels like the club, a one-click confirmation and no confusion at the entrance. Small details, but they shape how partners feel about coming back.

Sports and Technology, Again

This isn’t our first time working where sport meets digital solutions. Through WPM Group, we’ve supported RK Lokomotiva Zagreb on their path to the EHF and helped Siliko Futsal host the main stage of the UEFA Futsal Champions League.

What connects all of these projects is the same idea: clubs should spend their energy on the game and the people around it, not on managing lists.

Looking Ahead
